How to use this checklist

1. Paste your draft

Copy the email you are about to send and paste it into the workspace. The checklist updates as you type, so you can fix issues while you work.

2. Read the checklist

Each item shows a pass or fail state. Failed items often point to missing greetings, blunt requests, or missing sign-offs. Use them as prompts, not rules.

3. Try a preset

4. Export your results

Use Copy results to save your checklist to the clipboard. Use Print to get a paper copy. Use Share link to send your draft and results to someone else.

What this checklist looks for

  • A greeting that uses the recipient's name or a standard opening.
  • Polite request words like "please", "could you", or "would you".
  • Softening phrases such as "I was wondering" or "when you have a moment".
  • A clear reason for writing in the first few lines.
  • A proper sign-off like "Best regards", "Thanks", or "Sincerely".
  • Short paragraphs and simple sentences.
  • Avoidance of all-caps words and too many exclamation marks.
  • At least one thank-you or appreciation phrase.
  • A closing that includes your name or signature line.
  • A subject line if you paste one at the top of your draft.

Common mistakes to avoid

  • Starting with "Hey" in formal emails.
  • Writing one long block of text with no paragraph breaks.
  • Using too many exclamation marks to sound friendly.
  • Forgetting to say what you need from the reader.
  • Ending the email without a sign-off or your name.

Assumptions and limits

This checklist is built for common English business and personal emails. It does not know your relationship with the recipient, the cultural context, or the full situation. Use the results as a prompt to think again, not as a final verdict. The tone score is a rough guide, not a professional assessment.

I hope your week is going well. Could you please send me the report by Friday? I need it for the client meeting on Monday.

Thanks for your help.

Best regards,
Alex

Questions people often ask

Does this rewrite my email for me?
No. It only checks for common politeness markers and gives you a checklist. You still write the actual message.
Can I use this for languages other than English?
The checklist is designed for English emails. Some items like greeting and sign-off patterns may not apply directly to other languages.
Is my email stored anywhere?
No. Everything runs in your browser. Nothing is sent to a server. Your draft is only saved on your device if you click Save draft.
What does the tone score mean?
It counts how many of the checklist items are met. A higher score means more common politeness markers are present. It does not measure how nice you are as a person.
